Academic Operations Coordinator, Extension Division (The Juilliard School)

The Juilliard School seeks an Academic Operations Coordinator to manage the day-to-day logistical and operational facets of Juilliard Extension’s academic programs. This role is integral in ensuring seamless coordination between faculty, students, and staff through responsibilities such as course scheduling, classroom management, and technology oversight. The ideal candidate will have a strong command of scheduling systems, classroom technology coordination, and operations management, ensuring optimal resource allocation and smooth course execution. Candidates should also possess strong communication skills and be able to navigate multiple tasks with efficiency and accuracy.

Reporting directly to the Dean of Juilliard Extension with a secondary report to the Assistant Director of Enrollment and Engagement, this role supports the administration of over 1,300 students per academic year, both in-person and online. The coordinator will work across departments to ensure smooth academic operations, contributing to a dynamic and inclusive learning environment. The position requires technical proficiency, including the ability to quickly adapt to and utilize new systems, while demonstrating a commitment to supporting diversity and inclusion in academic settings. This position operates on a five-day workweek with the flexibility of hybrid schedule.

The salary range for this position is $60,000 – $65,000.

Role Responsibilities:

  • Manage and coordinate all course schedules by working closely with faculty to ensure accuracy of dates, times, and locations.
  • Handle classroom schedules, room reservations, and space assignments to optimize resource use.
  • Maintain the academic catalog and student registration portal, ensuring course information is accurate each semester.
  • Collaborate with IT and facilities to manage classroom technology, provide initial faculty training, and ensure rooms are fully operational.
  • Coordinate with public safety to ensure appropriate building access for students.
  • Oversee onboarding for faculty, guest artists, and student workers, ensuring accurate payroll processing in collaboration with HR.
  • Maintain course resources on the online learning platform and provide training and support for faculty using the system.
  • Perform other duties as assigned to support academic operations.

Minimum Requirements:

  • Bachelors Degree required
  • Experience with the performing arts preferred
  • Strong organizational skills with experience using Microsoft Excel and Word
  • Ability to learn new computer programs and systems
  • Ability to work in person at The Juilliard School (hybrid schedule)

Preferred Background:

A background in academic operations, event planning, or a related field with experience in managing high-volume scheduling and operational tasks are preferred for this role. A bachelor’s degree is required, with preference given to those with experience in higher education or the performing arts. Proficiency in Microsoft Excel, Word, and data management systems is essential, as is a demonstrated ability to work with technology platforms supporting academic functions. Candidates should be detail-oriented, possess strong organizational skills, and have the ability to juggle multiple priorities efficiently.

Strong interpersonal and communication skills are crucial, enabling the successful candidate to collaborate effectively with faculty, staff, and students. A commitment to fostering an inclusive, equitable environment that aligns with Juilliard’s values is essential. Experience in classroom technology and online course management systems is highly advantageous, and familiarity with payroll administration and space management will be beneficial. The role offers a collaborative work environment that supports innovation, creativity, and excellence in academic programming.
